I keep seeing the same CRM problem at every organization we assess: everyone has admin access, nobody monitors the integrations, and the backup strategy is “the vendor probably handles that.”
Your CRM holds your most valuable relationship data. Client contacts, deal history, communication records, donor lists. It’s the system your organization literally runs on. And in most growing orgs, it’s also the system most likely to be misconfigured and unprotected.
Here are three things you can check in 10 minutes:
- How many people have full admin access? If it’s more than 2-3, tighten it
- Can every user export your entire contact database to a CSV? Restrict that to admins only
- List every integration connected to your CRM. Can you explain what each one does?
The CRM risks that hurt aren’t dramatic breaches. They’re the quiet ones: a departing employee downloading your contact database, an integration syncing data to an abandoned account nobody monitors, a “quick import” that overwrites a year of carefully maintained notes.
